Manage KnowboForm Databases

 

KnowboForm Databases are comprised of the following three files. Databases are by default installed in the application root directory. It is possible to change the location of these databases.

When you download an updated site database (KBFSite.mdb) you simply replace the old one with the newly downloaded one.

 

Following are the tools available to manage the databases:

Compact Databases... - Click on this button to compact all the three databases in one go. It is recommended to compact the databases once in a week or month depending on the extent of usage.

Backup User Data... - Clicking on this button will backup all user created data (such as submission records, profiles, fields, notes, saved passwords, user settings, filters etc.) in the KBFUser.mdb file. The previous backup if any from the KBFUser.mdb file will be deleted first.

Delete User Data... - Clicking on this file will delete all user created data from the KBFSub.mdb file. So, use this function with caution. It is recommended to save a copy of KBFSub.mdb file before deleting, so that in case of any problem, say in restoring back data from the backup, you can use the original one. Usually, KnowboForm comes with some example data. You can use this function to delete the sample data if you wish.

Restore User Data... - Click on this button to restore user data in the KBFSub.mdb file from the KBFUser.mdb file. It is recommended to save a copy of KBFSub.mdb file before restoring, so that in case of any problem you can use the original one.

Count User Data - You can use this button to have counts of user data from various tables of the KBFUser.mdb.

Clear Messages - Messages are displayed in the text boxes right of the buttons as you execute a function. Clicking on this button will clear out the messages.

Upgrade or Install a new version of KnowboForm

When you want to upgrade or install a new version of KnowboForm, follow the steps outlined below. You should not simply replace the new KBFUser.mdb with the old one because structure of the old one may have already become incompatible with the new version.

 

  1. First of all, backup your data from the old version

  2. Save a copy of the old databases

  3. Un-install the old version of KnowboForm

  4. Install the new version

  5. Rename the new KBFUser.mdb file to any other name e.g. KBFUser-new.mdb

  6. Temporarily use the old KBFUser.mdb in place of the new one

  7. Run new KnowboForm

  8. Delete sample user data if you want to

  9. Restore user data from the old KBFUser.mdb file

  10. Rename the KBFUser-new.mdb file to KBFUser.mdb file

  11. Backup, so that new KBFUser.mdb file is populated with user data
